MEDITECH is the third most popular electronic health record (EHR) vendor in the U.S. with just under 15% market share. MEDITECH’s newest release, Expanse, earned the best Overall Performance score in a recent KLAS Research report that examined feedback from hospitals with 250 beds or less about their patient accounting solutions. As MEDITECH users decide whether to upgrade to Expanse or to transition to a different EHR altogether, Harmony Healthcare IT can help manage the legacy data.
Harmony Healthcare IT has in-depth experience with MEDITECH — including Magic, Client Server and V6 Expanse — as well as associated data types and related third-party software. Our legacy data management solutions support MEDITECH data migration and other EHRs.
In most cases, key clinical data is converted to a new go-forward system. We help with that data conversion as well as with managing the rest of the data in HealthData Platform™.
Magnolia was going through an EHR implementation. And in doing so, we were migrating off multiple ambulatory acute EHR systems. And so it left us with a lot of legacy data sitting out there in those solutions that we were really having some workflow challenges around. We really wanted to migrate all that data into a single platform that we could just provide some more efficient work flows for but also improve our cybersecurity stance and posture. In the process, we brought in a team of eight individuals that were really responsible for the data from the different systems that we were looking at. And so we developed a decision matrix that included all of the things that were really required from Magnolia in a legacy archiving solution. And the feedback from the group when we, we scored Harmony was above and beyond any of the competition that we looked at. The user interface and user experience was really great. It was easy to use, easy to navigate. It provided all of the real feature functionalities that we were looking for in a solution. One of the, I guess real differentiators for Harmony for us was the ability to work down AR and work with agencies. That was really truly needed for us and being a small organization to be able to get rid of those manual processes. And really streamline our, and give us some efficiency in our workloads. So I will say Harmony has an impeccable project management methodology. It’s been really refreshing to work with Harmony throughout this implementation. They do Q&A checks throughout the process. Their Project Managers stay on top of everything. Keep us moving right along to meet our deadlines. So it’s, it’s been a really great experience.

After choosing MEDITECH as the go-forward EMR system, or after an upgrade to a newer version, it is time for an archiving strategy. The strategy should include a system inventory, financial forecast and a system prioritization plan for decommissioning legacy servers and archiving the data.
An important early step is choosing an archiving partner with the experience to successfully collaborate on your legacy data management projects. This RFP template can help you review vendors so you choose the data migration and archiving partner that best meets your needs.
There are many cost, security, and accessibility benefits for including an active archive in your data management plans.
Consolidate numerous legacy data silos into a secure archive, accessible by users via Single Sign-On from the go-forward EHR (MEDITECH, or other systems).
Reduce costs by decommissioning legacy servers and alleviating other cost burdens (technical, staff, infrastructure, maintenance, etc.).
Comply with record retention mandates and interoperability requirements of the 21st Century Cures Act.
The specific patient health data migrated to MEDITECH can vary by customer depending on several factors, including source system data elements, MEDITECH configuration such as customized modules or functionalities that influence the data needed, and migration goals.

Clinical notes: Physician notes, progress notes, nursing notes, discharge summaries, operative reports, consultation reports, allergy notes, immunization records. Problem list: Active and past medical diagnoses. Allergies: Medication allergies, food allergies, environmental allergies. Medication lists: Active medications, past medications, medication allergies, medication instructions, medication history. Immunizations: Vaccination history, dates, types of vaccines. Privacy and the security of health information are a top priority. That’s why Harmony Healthcare IT follows strict HIPAA and PIPEDA regulations and implements robust security measures to protect Protected Health Information (PHI). Here are some ways we ensure data is compliant and safe:
Yes. Data quality and accuracy are critical in any data migration or conversion project. Accuracy in data projects is largely dependent upon upfront expectation setting, clear requirements definition, business rule identification, data quality rules development and the establishment of and adherence to field/data validation processes. Harmony Healthcare IT assigns a project manager to ensure accuracy in each step of the process. Data verification and validation occurs from both parties to ensure accuracy in the migration of data from source to target systems.
